Xerox has become more competitivc  in the copier market since launching the WorkCentre 4260 Copier.  I don’t feel it is quite as good of a value as the Lexmark X658dfe, but it is close, and if the logo on the front of the box matters to you, Xerox is a name that is hard to go wrong with. 

Why would you want to consider the WorkCentre 4260 copier in Fort Collins?  First of all, it starts under $3,000 for a 55 page per minute copier.  HP has some models like the HP Laserjet 4515 which costs almost as much and is only a printer.  Xerox, HP, Lexmark, and Sharp have all been pushing what is called A4 copiers.  This does not support tabloid printing, but has a strong engine that goes fast at a fraction of the cost of the big copiers.

 What’s the worst thing ever?  Well, barely behind that is the normal occurance of having 15 printer and copier reps all trying to fight for your business.  It’s a rat race for sure, everyone trying to climb to the top of the mountain.  We are  a pushy lot, by nature…  so it means that each rep will call you multiple times and at the end, you get short with everyone!  You just get tired of so many sales calls.  So, what can you do?  You boss wants to make sure you are making the best investment for your money here in FC.  So, you get as many quotes as you can.  There is a problem with this logic though.

If I find out a customer is talking to more than 3 copier reps, it tells me several things.  1) They are going to grind everything down to a halt about 100 times because the pleothera of info will cause freezes in action. 2) They are likely to find someone who’ll give something away, and even if it is a bad fit, it won’t matter because customers generally want to feel like they are getting a good deal, not actually buy the best copier for their needs and get a good value in doing this. 3) They are unlikely to be efficient or pull the trigger fast because everytime they try to, there will be 9 voices telling them not to.  It’s hard to make any decision, because almost all decisons are “wrong.”

So what can you do?

  • Limit quotes to 2 or maybe 3 companies and tell the rep to be competitive because you are getting a quote from another company.
  • Have a budget for a copier so you don’t waste a bunch of time.
  • Have a max budget (but don’t tell this number to the copier reps), so you can see if what you get is in line with what’s suggested.
  • Call your reps back with action steps and your planned stages for decisons.  “Thanks for the quote, we are going to make a decison next Friday.  You can call next Thursday to go over your quote so I can understand it before we make our final decison.” — A customer who did this would be worth going the extra mile for in terms of price!

The  fax machine has been a staple of businesses for as long as most of us can remember.  With familiarity, there is always (ALWAYS) a resistance to change.   This is true with the office copier as much as it is with anything else.   I thought I would use this post as an opportunity to talk about why scanning is generally better than faxing.

  1. Scanning or Scan to Email is better because when you send a scan to someone’s E mail, you can prove they received it…  A fax can always be lost.
  2. Scanning and E mailing doesn’t cost money to do “long distance.”
  3. Scanning has clearer image quality
  4. Scanning has the document already in electronic format, like most people want
  5. Scanning if faster than faxing

Maybe you fax because your customers make you.  That’s a fair reason to keep using a fax.  If you are asking people to fax ir offering to fax, you need to experience scan to E mail (done well)!

I have dealt with two companies in Fort Collins this week that have OVERBOUGHT on their last copier to such an extreme that I had to ask “are you sure” about 5 times in each situation.

In the first situation, it was an architechture firm who had spent about $20,000 on their last copier to print just 800 color copies a month and 1200 Black and White Copies.  Yes, 2,000 copies a month for 3 years and spent over $20,000.00 … If you work out the math, and count color and black and white as equal (which they aren’t) this company has been spending more than $.27 per copy.  I think this was a severe overkill.

Situation #2 had a title company with about 3,000 pages a month and they bought a 55 page per minute black and white machine on a 63 month lease.  They spend about $375 a month for these prints.  (That’s what her contract costs a month.)  Do the math again and you’ll see that she’s paying $.125 per print.  problem is, none of them are color prints.

There are a lot of copier reps who want to over sell you.  We don’t subscribe to this theory.  if you have been getting hosed over by your copier company, feel free to call them so they can do it some more, or call us and get a competitive quote here in Fort Collins.

We all keep hearing about the economy and how terrible it is in Fort Collins.  Yet as a copier dealer, I sometimes wonder because resources can be spent so inefficiently!  So, this is a horror story blog/rant today… 

I was working with a real estate agency and there were about 25 people in the real estate office.  It is a thriving agency with many talented people.  They have had Oce copiers for about 3 years and their lease is coming up.  They had asked for some pricing and comparative analysis.  I ran their current numbers and they were spending close to 50k per year between the 5 offices they had.  This was for all their copiers, so it seemed reasonable.  Until I asked questions.  Once I started asking questions, well…  the whole logic seemed crazy!

First of all, they were only making about 10,000 prints and black and white copiers in their biggest office.  Now, this sounds like a lot, but they had a 65 page per minute copier there rather than something like an HP Laserjet 4345x.  That surprised me because this was a $30,000 copier instead of a $4,000 copier.  Their reasoning was that they couldn’t be waiting for copy jobs.  Problem with the logic, the Oce had a warm up time of 90 seconds…  our suggestion had a 10 second warm up time.  For 99% of the jobs this office did, the “slower” 55 page per minute copier would finish a job about 45 seconds faster. 

“It’s too small”

Yes, that’s right, that is what the customer (actually, not a customer because we couldn’t talk any sense into them) said.  We want a big machine because of our heavy volume.  Wow.  10,000 pages, fyi, is not heavy volume!  When I ran what I was proposing vs what they were doing and getting quoted on, our bid came in at $75,000 for 3 years rather than $150,000.  They went with the “big copier” and we are left scratching our heads.  For all of you who find copier reps annoying and dishonest in Fort Collins…  I am beginning to see where you are coming from.  Becasue they trusted their rep on this one, they’ll be paying $25k extra a year.  I hope he is right!

As a copier rep in Fort Collins, one of the more amazing things I see is that people pay $10,000 for a high end copier, and then they don’t even have all of the features set up properly.  I will ask them to send me a quick scan to email and they blankly look at me and then say they never had that feature set up.  What??  One of the most common things people do, and they didn’t bother to have it set up.  Now if they need a scan, it requires some kludgy system that no one really knows how to do very well…

Copiers are complex machines.  When you pay for a copier, you are not just paying for the engine that makes the prints, but also the interface and the software that comes with the copier.  I agree unnecessary items  should not be installed, as it only adds to confusion…  but your rep should take the time to let you know what is available and see if there is a need for that feature.  If they are merely trying to get you to sign on the line that is dotted, rather than actually trying to help your office be happy and efficient, i would say you are working with the wrong rep.
